HaulSentry Drayage Dispute Audit is built to analyze a shipping invoice and prepare a dispute dossier. We collect only what is needed to provide that service.
We collect the account and letterhead details you enter, the invoice PDFs and supporting facts you upload, the information extracted from those documents, audit results, corrections, generated letters, AI-guide conversation messages, and the product actions needed to operate and support the service.
We use this information to create your account, read and audit your invoice, generate a dispute letter, maintain your access, protect the service, and support you. We do not sell personal information or use invoice data for advertising.
Uploaded documents may be sent to the configured AI document-processing provider to extract invoice facts. Questions sent to the AI guide, its recent conversation history, and the structured facts from the current audit may also be sent to that provider to answer you. Do not enter passwords, verification codes or unrelated personal information in the chat. Authorized HaulSentry personnel may access an account or document only when needed to operate, secure, support, or improve the service. Those actions are restricted and logged. If you choose optional product analytics, we also record a concise account action trail so we can understand and improve the workflow. Providers may process information outside your province or Canada; contact us before uploading if you need to assess a specific deployment.

Your account data, invoices, audits and generated letters are kept until you delete the account, unless we must retain limited information to meet a legal obligation or resolve a dispute. From Letterhead, you can permanently delete your account and its stored documents. To request a portable copy of your data or correct inaccurate information, contact the person responsible for privacy.
We use access controls, signed HTTP-only session cookies, encryption in transit when the service is deployed over HTTPS, and limited internal access. No security measure is absolute; please keep your access code and any invoice documents confidential.

These terms govern your use of HaulSentry Drayage Dispute Audit.
The service reads information from invoices and user-provided evidence to prepare a draft audit and dispute letter. It is a decision-support tool, not legal, accounting, customs, carrier, terminal, or insurance advice.
You must provide accurate information, have the right to upload each document, independently verify every audit result and letter before use, and meet all carrier, terminal and filing deadlines. You remain responsible for submitting any dispute and for the relationship with the issuer.
Your access code and verified email provide access to your account. Keep verification codes confidential. You may delete your account from the Letterhead screen. For a portable copy of your account data, contact the person responsible for privacy. Do not upload unlawful, malicious or unrelated content.
The free trial lasts 30 days and includes analysis of up to 50 real invoice documents, whichever limit is reached first. Sample documents do not consume that allowance. No payment card is required. When the trial ends, existing invoices and letters remain available, but new analyses are disabled unless another plan is arranged.
Invoice extraction and AI-guide answers can be incomplete or wrong, particularly for scans and unusual layouts. An identified amount is not a guarantee of recovery, credit or acceptance of a dispute. We may change, suspend or improve the service with reasonable notice where practical.
To the extent permitted by law, the service is provided as available and HaulSentry is not responsible for indirect losses, missed filing windows, or decisions made from an unverified output. Nothing in these terms excludes liability that cannot lawfully be excluded.

We use the minimum storage needed to run and secure the audit.
drayage_session keeps a signed-in customer session active. drayage_admin keeps the protected operator console active. Both are HTTP-only and are not used for advertising or cross-site tracking. We save your analytics choice in browser local storage and in a small first-party preference cookie, not in a tracking cookie. You cannot disable the corresponding session cookie while using a signed-in area.
We do not load advertising cookies. Optional first-party product analytics remains off unless you opt in through the choice panel below. When enabled, it records the workflow actions in your account; it does not record your access code or copy the content of the uploaded document into the analytics trail.
